Overview of the position:

Food for His Children is looking for a highly motivated someone to work as both an administrative assistant and an accountant. To ensure the efficient operation of our firm, the selected candidate will be in charge of handling financial transactions, keeping accurate records, and offering administrative support. For this position, QuickBooks accounting software proficiency is necessary.

Accountabilities:

Accounting positions (60%)

  • Keep an eye on the risk profile and financial performance while making sure all legal requirements are fulfilled.
  • Control the organization’s financial operations, such as reporting, auditing, and budgeting.
  • Keep an eye on spending and budgets, and participate in budget preparation and modification.
  • Ascertain that all financial transactions are approved, documented, filed with the necessary supporting paperwork, and kept up to date.
  • Verify the balance of each account by reconciling transactions on bank statements and computer records.
  • Manage daily financial processes, such as processing payroll and handling accounts payable and receivable.
  • Keep an eye on bank processes, accounting, money processing, billing, and invoices.
  • Introduce tactical measures to mitigate losses and put operating cost limits in place for staffing, supplies, acquired services, etc.
  • Communicate with and check expenditures and budgets as needed.
  • Preparing payroll, paying all payroll deductions, and submitting payroll returns.
  • Make sure your financial records are current and correct by using QuickBooks accounting software.
  • Create monthly financial reports that include cash flow, balance sheet, and income statement information.
  • Help with the creation and oversight of the budget, making sure that it complies with organizational, accounting, and donor regulations.
  • Organize yearly audits with outside auditors and make sure financial reports are submitted on schedule.
  • Make sure Food for His Children abides with Tanzania’s financial laws and procedures.
  • Maintain all spending within the organization’s authorized budget.
  • Examine each and every fund request to make sure it aligns with the approved budget.
  • Examine the organization’s monthly budget and contracts to make sure FFHC is making all of its payments.
  • Examine the fixed assets of the company to make sure they match QuickBooks and that depreciation is completed by December each year.

Jobs in administration (40%)

  • Help the team administratively by organizing meetings, handling communications, and keeping up with office supplies.
  • When necessary, lend a hand in setting up training sessions, workshops, and events.
  • Take care of routine office tasks like data entry, photocopying, and filing.
  • In charge of making all travel plans for the organization’s employees, including arranging flights, buying tickets, reserving hotels or other accommodations, clearing the necessary funds, and maintaining records.
  • Make sure that the staff, delegate, guests, and consultants are properly welcomed, with airport pickup and drop-off arranged.
  • Recording minutes of meetings as needed.
  • Under the supervision of the US & TZ Team Lead, perform general administrative duties such as handling mail, phone messages, and inquiries, as well as filing.
  • Maintain accurate records and keep track of all administrative paperwork, including registration for both internal and external correspondence.
  • Any additional responsibilities pertaining to finance and administration that the line management assigns
  • Assist the Executive Director, the Director of Partnership and Program Development, and other staff members with their assigned tasks.

Required Job Qualifications:

  • A desire to follow Jesus’ example and live in accordance with the essential principles and beliefs of Food for His Children
  • A diploma in finance and accounting
  • Demonstrable experience in administrative and accounting positions, ideally in a non-profit or related environment.
  • It’s imperative to be proficient with QuickBooks accounting software.
  • Strong attention to detail and organizing abilities.
  • Outstanding interpersonal and communication abilities.
  • Capacity to function both alone and collaboratively in a hectic setting.
  • It would be ideal to be familiar with Tanzanian accounting laws and standards.
  • Proficiency in written and spoken English is mandatory.
