We are looking for a dynamic and experienced Administration Officer to join our team and contribute to the smooth operation of our firm.
The key responsibilities:
An administrative support.
- To oversee daily administrative procedures to ensure the office runs smoothly.
- To manage correspondence, schedules, and documentation for both management and employees.
- To maintain an ordered filing system for documents and reports.
The Office Management:
- To supervise office space, supplies, and equipment to ensure efficiency and availability.
- Plan logistics for meetings, conferences, and events.
- Manage the procurement of office supplies and communicate with vendors and service providers.
Human Resource Support:
- To assist with recruitment, onboarding new employees, and managing personnel records.
- To support the application of company rules and processes.
- To manage staff attendance and leave applications.
The Financial Administration:
- Handle invoices, receipts, and petty cash management.
- Assist/ support budgeting and spending tracking for administrative purposes.
- To collaborate with the finance team to guarantee financial compliance.
Communication and coordination:
- Serve as the point of contact for internal and external stakeholders.
- Maintain timely communication among departments.
- Handle and resolve administrative difficulties efficiently.
The Compliance and Reporting:
- Make sure adherence to company rules, local regulations, and safety requirements.
- Create monthly administrative reports for management.
The Qualifications & Experience:
- Education: A bachelor’s degree in business administration, management, or a similar profession.
- Experience: A minimum of 3 years of administrative experience, preferably in a consultancy or investing setting.
The Skills:
- Excellent organizational and time management skills.
- An excellent written and vocal communication in both English and Swahili.
- A proficiency with Microsoft Office Suite and administrative applications.
- Problem-solving skills and attention to detail.
- Teamwork and leadership ability.
