The Jane Goodall Institute Tanzania (JGI-TZ) is a recognized and fast growing non-governmental organization dedicated to wildlife research, conservation, socioeconomic development, and environmental education. JGI Tanzania, founded in 2001 by Dr. Jane Goodall, DBE, works with partners to make a difference through community-centered conservation, chimpanzee research programs, youth environmental education, and creative scientific and technology applications.

The Tanzania Career Opportunities:

Jane Goodall Institute Tanzania, with financing from the United States Agency for International Development (USAID), is now looking for a sufficiently qualified and competent Tanzanian to replace the following empty post.

 

 

The Job Summary:

The Administrative Assistant will help the USAID Hope Through Action initiative by providing administrative and operational support to ensure the office runs smoothly. The successful candidate will play an important role in enabling communication, organizing papers, and supporting project operations.

 

 

The Key Responsibilities and Duties:

The main (primary) tasks will include, but are not limited to:

  • Workplace (Office) management is keeping an ordered workplace environment, managing supplies, and overseeing equipment upkeep.
  • Financial Administration: Assist with budgeting and financial reporting, as well as invoice processing and spending tracking.
  • Provide administrative support for project operations such as data entry, interview scheduling, and participant list management.
  • Document Management: Help to prepare, format, and distribute reports, presentations, and other materials. Maintain filing systems and provide simple access to project documentation.
  • Meeting Coordination: Plan and arrange meetings, workshops, and events. Prepare agendas and take minutes to ensure information is distributed on time.
  • The Communication Support: Manage incoming and outgoing correspondence, such as emails, phone calls, and letters. Facilitate communication among team members and stakeholders.
  • Compliance and Reporting: Ensure that all USAID and organizational regulations are followed, and keep correct records for audits and evaluations.
  • Travel Coordination: Assist project workers with their travel plans, which include itineraries, lodgings, and transportation.
  • Carry out/ perform any other duties as given by the employer.

 

 

 

The Minimum job qualifications and other requirements:

  • A Bachelor’s degree in business administration, management, or a similar discipline is recommended.
  • A minimum of two to five years of experience in administrative support or comparable tasks.
  • A proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint) and other related software.
  • A strong organizational skills, including the ability to manage various activities and prioritize well.
  • The excellent written and spoken communication abilities in both English and Swahili.
  • Showed attention to detail and the capacity to protect confidentiality.
  • The ability to collaborate in a diverse team setting.
  • The experience working with USAID or other international agencies.
  • Understanding of financial management procedures.
  • Experience in project management software.
