Background:
Under article 7(iii) of the General Agreement between the United Republic of Tanzania and the Kingdom of Belgium on Development Cooperation, Enabel is the Belgian Development Agency that operates in Tanzania. It is a public law company with social goals. The Belgian Minister of Development Cooperation adopted the Country Strategy for the Belgian Bilateral Cooperation Program in Tanzania 2023–2027 on July 15, 2023. The program is expected to run for five years, from 2023 to 2027. In order to optimize impact, efficiency, and synergy, the plan is clearly focused geographically on a few chosen areas within the Kigoma region. For this reason, Enabel is looking to hire a motivated and capable candidate to take over as Administrative Assistant.
Job Summary:
An administrative assistant’s duties and responsibilities consist of the following:
- Assist with a range of administrative duties (such as document filing, archiving, and follow-up) to ensure effective support for the department, supervisor, coworkers, and project.
- Plan conferences, workshops, meetings, missions, and other events both internally and externally.
- Make sure that all attendees and stakeholders are informed of these activities. (managing reservations, sending out invitations, putting together the paperwork for significant meetings and workshops, etc.) etc.
- To maintain the appropriate and efficient operation of the office, make sure that there are enough supplies, tools, and facilities.
- Make that all pertinent communication and records are appropriately filed and stored.
- Accept and greet visitors, answer phones, and route them to the appropriate person to provide appropriate assistance or point them in the direction of the required internal contact.
- Handle communications both internally and externally with tact and professionalism.
- Arrange for executive, staff, visitor, and partner travel and lodging; create travel schedules and expenditure reports.
- Examine each supplier invoice, then send them to finance so that they may be paid.
- Control the register for small cash.
- Oversee the movement of passengers and cargo, as well as the scheduling of drivers.
- Assist the Logistics & Purchasing Officer / Procurement Officer with tasks like managing and locating vendors and service providers; making minor purchases of products and services.
- As needed, give the logistician sufficient help.
What’s on your profile?
Requirements for experience and qualifications:
- A national from Tanzania.
- A bachelor’s degree from an accredited university in business administration, logistics management, or a related discipline.
- Five years minimum of relevant experience handling logistics or office administration duties.
- Particular assistant experience in the areas of logistics, procurement, and accounting (please elaborate in your CV/cover letter).
- An advantage is prior experience overseeing purchases and vendors in a hectic organizational environment.
- Work experience in a global non-governmental organization is beneficial.
Knowledge and abilities needed:
- Strong familiarity with computer programs (MS 365, SharePoint, etc.).
- Outstanding writing and vocal communication abilities. Given the global nature of your workplace, you must speak and understand English fluently.
- Outstanding organizational and managerial abilities.
- Excellent comprehension and listening abilities.
- Excellent spoken and written Swahili and English.
- Outstanding interpersonal and customer service abilities.
- A proficiency at time management.
