The Job Overview:
The Mwananchi Communications Limited (MCL), a part of Nation Media Group (NMG), is Tanzania’s largest independent news network, with an award-winning print and digital presence. We produce leading national news brands in print and digital media, including Mwananchi, The Citizen, and Mwanaspoti, and we own the Mwananchi Digital suite of goods and the Nation ePaper eGazeti web platforms. We are looking for a motivated and experienced individual to fill the position of Executive Assistant to ensure the smooth and efficient administration and management of the MD’s office, including scheduling, travel, engagement, activities, and communication with the MD’s office, board, staff, external stakeholders, customers, clients, and others.
The Responsibilities:
The Board Meetings:
- To maintain and improve internal processes to support high-level executives and ensure operations function smoothly.
- To arrange and prepare board packets for board meetings.
- Provide hotel accommodations and airport shuttles for board members.
- Make sure that all essential materials are available for and during board meetings.
The Scheduling and coordination:
- To manage the MD’s professional and personal schedule, which includes agendas, mail, email, phone calls, client management, transportation, and other company logistics.
- To coordinate sophisticated scheduling and calendar management for senior executives, as well as travel logistics and activities like as lodging, transportation, and food.
The Corporate social responsibility (CSR):
- Create and implement activities with the Head of Marketing, Corporate Affairs, and Sustainability to improve MCL’s image in the areas of health, education, and the environment, while maintaining sustainability.
- To support other external CSR initiatives.
The Customer Care:
- To manage the MCL front desk and provide effective customer service to the board, staff, external stakeholders, customers, clients, and other internal and external clients.
- To organize team communications and plan management office and company-wide events, conferences, workshops, and other engagements, whether on-site, electronically, or remotely.
- To ensure punctuality, a clothing code that reflects the MCL staff image, and front desk officers who are clever and pleasant to guests.
- The monthly updates on front-office activities.
- To maintain the ambiance of the reception at all times.
The Engagement Management:
- To manage visits and visitors to the MD’s office, ensuring that every guest has an amazing experience working with MCL.
- To manage interactions with internal and external stakeholders, staff, and HoDs to ensure the completion of various projects and tasks.
The General Administration:
- To provide administrative and office support via typing, dictating, creating spreadsheets, faxing, and maintaining the filing system and contact database.
- To manage calls, assist with management reports, letters, minutes, boardroom access and availability, and other administrative chores.
The Minimum Qualifications and Experience:
- An Academic: A basic University degree.
- The Experience: At least three years in a comparable field.
- Abilities/Skills: include secretarial and customer service abilities.
