The Maternity Africa is a Christian-based non-profit organization dedicated to providing fistula treatment and quality maternity care to all vulnerable women in Tanzania. We accomplish this via clinical excellence and the demonstration of love, kindness, and compassion regardless of race, religion, or ethnicity. Maternity Africa’s headquarters are at Kivulini Maternity Centre, located just outside of Arusha in Northern Tanzania.
About the function.
To provide general support to employees, which is required for day-to-day HR operations and administrative duties to perform smoothly. Improving the consistency, efficiency, and effectiveness of HR procedures and responsibilities.
The Role Responsibilities:
- To perform day-to-day operational and administrative duties in Human Resources.
- To supervise of labor and activities in Human Resources departments.
- Perform reference checks on new workers and volunteers.
- To prepare employment contracts upon staff appointment and maintain an effective contract planning procedure, ensuring personnel receive probation confirmations as they become due, and/or extending the probation period after consultation with the employee’s Line Manager.
- To ensure that all workers perform departure interviews. Follow up on staff final dues to ensure they are paid accurately and in the quickest time feasible.
- To assist in conducting staff surveys on many aspects of employment, including job satisfaction.
- Make sure that all Kivulini resources assigned to the employee, including keys and uniforms, are returned and recorded.
- To make follow up to ensure that all new workers receive orientation plans and processes, and that documentation are kept in their files.
- To ensure that foreign employees/volunteers receive and maintain current work permits and visas.
- To maintain an up-to-date file system that allows for efficient retrieval, referencing, and reporting. Personnel, recruitment files, etc.
- To monitor staff leave status, ensuring that the leave database is regularly updated and that monthly status reports are distributed to employees via finance and payroll.
- To ensure that line managers are aware of when employees’ contracts are due to be renewed/expired, and that staff notices or renewals are issued on time.
- To ensure that the Human Resources database system is properly updated and used in a timely and correct manner. This involves onboarding new employees, dismissing leavers, changing personal information, updating contract information, entering performance ratings, training information, and tracking staff absence.
- To maintain confidentiality with regard to all staff records, whether manual or computer-based, and ensure that all records are stored securely.
- To liaise with the IT Department for technical help and updates on HR database training.
- To pull employee attendance reports, examine them, and report back to line managers on any trends or inconsistencies.
- Examine all monthly rosters for the organization to ensure they meet the relevant work/employment requirements and are updated to reflect any changes.
- Collaborate with the HR Manager to improve HR and administrative procedures, strategies, and ideas in a creative, inventive, effective, and efficient manner.
The Qualifications, certificates, experience, and skills are all necessary:
- A diploma in human resource management or public administration is required at the very least.
- The excellent communication and interpersonal abilities.
- A proactive and remarkable organizational abilities.
- The knowledge of Tanzanian employment laws and guidelines.
- Be eager and willing to learn.
