Job Title: INTERN Procurement Officer

The key job Requirements:
Manage office procurement activities, such as purchase orders/requests, purchases, and inventory management, in accordance with business rules, procedures, and instructions.
The main Duties:
- To handle office purchases.
- Order and manage office supplies.
- To control office supply inventory and expenditures.
- Make review and respond to office supply requisitions.
- To manage the office stationery.
- To coordinate with the equipment supervisor to obtain essential supplies and perform warehouse maintenance.
- To procure proforma invoices from competing suppliers for each purchase and deliver them to the general manager for matching and attaining an acceptable pricing.
- Make sure that all purchases are made using the correct LPO and comparable Proforma Invoices, which are then shared with the general manager of terminals for assessment and approval.
- Make sure that staff requests are handled promptly.
- Maintain close communication and correspondence with your manager.
- To provide feedback and updates to staff and management regarding purchasing requests.
- To prepare and submit purchase and supply reports to the general manager-terminals.
- To maintain records of daily purchase processes and disseminate them as needed.
- To present the expense report to the accounting and finance teams for reconciliation.
- To control supplier chargeable prices and ensure that the organization receives advantageous charge rates.
- Be responsible for the expenditures and earnings associated with the position.
- Make sure that procurement activities are handled in an honest and trustworthy manner.
- To manage your own performance on a daily basis and be prepared to be evaluated for continued performance.
- To manage all purchase invoices and documents.
- To manage purchase and supply files, ensuring their safe custody.
The other special requirements:
- An Advanced Diploma or Bachelor’s Degree in Procurement or a comparable branch of study.
- The practical experience in procurement positions.
- The high level of computer literacy.
- The Microsoft Package (Word, Excel, and PowerPoint).
- The Microsoft E-mail and Outlook software.
- Understanding/ knowledge of specialized computer programs/software applicable to procurement operations.
- The high-level communication and interpersonal abilities.
- The excellent attention to detail and precision in data verification.
- The effective communication abilities for working with vendors and internal stakeholders.
- The ability to prioritize work and manage time properly so that invoices are processed on time.
