Job Title: Administrative and Finance Assistant

Applications are being accepted for the post of Administrative and Finance Assistant by the International Institute of Tropical Agriculture (IITA) on behalf of the International Rice Research Institute (IRRI).
Background:
IRRI is an independent nonprofit research and training organization dedicated to rice research. The Consultative Group of International Agricultural Research (CGIAR) Consortium counts IRRI among its members.
The Administrative and Finance Assistant will oversee and manage the day-to-day secretarial and administrative assistance of the Senior Administrative Assistant – Administrative Coordination and the entire unit, reporting to the latter.

Duty Station: The job will be located in the Dar es Salaam offices of IITA Mikocheni.
Experience and Qualification:
- A business administration bachelor’s degree and at least a year of equivalent job experience.
Required knowledge and abilities:
- Familiarity with Microsoft Office (Word, Excel, PowerPoint).
- Excellent writing and verbal communication skills; conveys job status on a regular and timely basis.
- Must always cultivate an environment of integrity and trust and be a scrupulously honest person.
- Capacity to work quickly, effectively, and discreetly and confidentially.
- Possess rudimentary accounting knowledge.
Preferred:
- Both strong interpersonal and organizational abilities.
Accountabilities:
- Goal/ Purpose.
- Creating monthly bank reconciliations from Tanzanian bank accounts, creating spending reports and uploading them to OCS, and double-checking receipts.
- Oversee the filing and distribution of all incoming and departing letters, papers, faxes, and mail.
- Sort and route incoming mail and invoices to the relevant departments.
- Help with bookings for flights, lodging, and local transportation for employees and guests as needed.
- Reconcile after tagging the assets.
- Both scan and photocopy papers.
- Maintain an inventory to keep track of basic office supplies, and help place orders for new or additional supplies as needed.
- Help with obtaining and processing import and export authorization for items for research and other purposes.
- Handle requests for cash advances.
- Notifying his or her supervisor of any discrepancies they discover in the accounts.
- Verify adherence to the procedures for expenditure commitment.

- Effective and efficient administrative assistance for employees and guests.
- Ensuring that there is the necessary support for all initiatives and operations.

Overview / General information:
The contract has a two-year term that can be extended, contingent on funding availability and performance. IITA is offering a competitive compensation package for these positions, which are being recruited nationally.
