Reputable and quickly growing, the Jane Goodall Institute Tanzania (JGI-TZ) is a non-governmental organization dedicated to environmental education, socioeconomic development, conservation, and wildlife research. Dr. Jane Goodall, DBE, established the Jane Goodall Institute Tanzania (JGI-TZ) in 2001. The JGI Tanzania and its partners work closely with local communities in Tanzania, inspiring hope through the collective power of individual action. Through community-centered conservation, chimpanzee research projects, environmental education for youth, and the creative application of science and technology, we make a difference.
With assistance from its donors, the Jane Goodall Institute Tanzania is now looking to hire competent and qualified Tanzanians to fill the following open positions:
Office Manager is the title of the job.
Project: Coastal and Marine Ecosystems: Conservation and Sustainable Management (COSME).
Tanga is the duty station.
Line of Reporting: Project Manager.
Minimum Skills for the Position and Additional Needs:
The following will be among the minimal qualities needed for the position:
- A person with a bachelor’s degree in communications, business administration, or a similar discipline.
- Three to six years of experience managing an office or in an administrative capacity.
- Excellent attention to detail, great time management and organizational talents, the capacity to set priorities, the ability to solve problems independently and with drive, a high degree of integrity, and confidentiality are all required.
- A fair amount of coordination and support for logistics, information management, and workflow Technical know-how and job knowledge; organizing, multitasking, and planning.
- Must be knowledgeable about computers and adept with Microsoft Office.
- Prior experience carrying out conservation-related projects as an NGO employee.
- Good communication abilities; both written and spoken Swahili and English are spoken with ease.
- Prior experience organizing outreach campaigns and trip initiatives.
- The capacity to lead a group of employees, interns, and volunteers with effectiveness.
- It is preferred to have training and expertise in sustainable natural resource management and conservation education.
- An additional benefit will be prior Roots and Shoots membership or involvement.
- Computer savvy and capable at using Word, Excel, PowerPoint, Outlook, and data analysis software.
- In collaborating with a range of organizations, departments of government, foreign agencies, and partners.
Principal Job Tasks and Responsibilities:
The principal duties will comprise, but not be restricted to:
- Arrange for a variety of formal meetings with donors, NGOs, government ministries, and other stakeholders.
- Inform the project manager of all booked appointments, meetings, critical dates, and other matters.
- Keep up filing systems, important office records, agreements, and memoranda of understanding.
- Write a variety of letters using the JGI Tanzania standard correspondence format.
- Handle the renewal of different licenses and service agreements; make travel and lodging arrangements for JGI employees and guests.
- Respond to and record calls, emails, and invitations.
- Make sure everything runs smoothly, including the utilities, cleaning, maintenance, and other tasks.
- Attend to office guests’ varied needs and keep track of visitors’ registrations.
- Arrange different workshops and workplace gatherings.
- Verify the availability of office supplies and stationery, car insurance, fuels and oils for generators, and office buildings.
- Make that all office expenses, including those for travel and lodging, fuel, water, phone, energy, security, and air travel, are paid on time and appropriately.
- Make sure all office property, including all vehicles, assets, and equipment, is well-maintained. Make sure that JGI Asset tags are applied to every object.
- At the end of the year, oversee and inventory all office equipment.
- Assist with official banking matters, manage small amounts of cash, send digital payments, and plan retirements appropriately.
- Assist the Dar office with any requests that call for the Tanga Office to closely monitor them.
- Under the direction of the procurement manager and in accordance with JGI Tanzania’s procurement policy, carry out the COSME project’s procurement procedure.
- Provide comprehensive, timely, compliant, and well-documented support for the procurement, supply, delivery, storage, and disposal of goods and services, as well as logistical operations, at the most economical levels.
- Carry out any additional tasks that the supervisor may assign you.
