Job Title: Procurement and Logistics Assistant

The Job Description:

The successful candidate will be responsible for the following duties and responsibilities:

 

THE RESPONSIBILITIES:

The responsibilities and accountabilities.

  • To organize and monitor all procurement activities in accordance with the needs of the IOM Dar es Salaam and the IOM Procurement Policy. Establish and execute necessary methods to prevent fraud and ensure transparency.
  • To process purchase requisitions (PR), requests for quotes (RFQ) with vendors, and prepare bid analysis summaries (BAS) before preparing financial purchase orders (POs).
  • To ensure that all purchase documents are routed for approval in accordance with the IOM permission matrix applicable to the mission in the Republic of Tanzania.
  • When all consignments have arrived, prepare Request for Payment (RFP) forms and close purchase orders; submit RFP copies together with supporting paperwork to the account’s unit.
  • On a local level, work with customs and tax officials to expedite the clearance of IOM consignments as required by country legislation.
  • Maintain and update an inventory list and tracking system for all IOM assets in Dar es Salaam, and establish/streamline procedures for managing and safeguarding all IOM Dar es Salaam assets/supplies. Manage asset disposal in accordance with IOM guidelines.
  • To keep all car registration documentation, taxes, and stamps in accordance with current rules and regulations.
  • To liaise with the IOM Administration in Dar es Salaam to ensure that all IOM assets are insured at all times by a reputable insurance company on the best terms and circumstances. Follow up on any allegations that arise.
  • To organize the maintenance of all office equipment (except IT equipment) and security at the Dar es Salaam office, as well as the continuing provision of all needed utilities.
  • Keep a file for each car including copies of the purchase invoice, insurance, and other pertinent paperwork.
  • Complete IOM Dar es Salaam clearing and forwarding assignments. Advise on the importing and exporting of any duty-free commodities, and support foreign staff in getting necessary documents/licenses/exemptions, as needed.
  • Complete any other related tasks as requested.

 

 

THE QUALIFICATIONS:

Education.

  • A holder a secondary school diploma and four years of work experience.

 

  • A bachelor’s degree along with two years of legal or related employment experience.

An accredited universities are those that appear in the UNESCO World Higher Education Database.

 

Experience.

  • The experience with international, public, or contract procurement, as well as supplier management, is necessary.

 

  • Knowing the legal aspects of contract management will be advantageous.

 

  • The ability to work under pressure and meet deadlines.

 

Skills.

  • A strong computer abilities, particularly in Microsoft Excel, Word, and Outlook.

 

Languages.

Required.

  • A fluency in English is necessary (both spoken and written).

 

Desirable.

  • The working knowledge of French and/or Spanish.
