Job Title: Procurement Assistant

Ministry Function:

The Procurement Assistant assists the Ministry of Convoy of Hope (COH) by reporting to the Finance and Administrative Coordinator. The function entails controlling and confirming the purchases required to ensure programmatic operations are completed within the specified amounts and dates, with the required quality levels, and at the best market pricing. The assistant also handles administrative acquisitions.

The Required Knowledge, Skills, and Abilities:

To be considered for the Procurement Assistant position, candidates must meet the following criteria:

  • A bachelor’s degree in procurement and supply chain management from a reputable college.
  • At least three years of experience in related roles.
  • A fluent in technical English.
  • The ability to operate Mac/PC software tools such as Gmail, Microsoft Word, PowerPoint, and Excel.
  • The excellent organizational and time-management abilities.
  • Excellent communication and negotiation abilities, service orientation, client focus, and proactivity.
  • The integrity and secrecy.
  • Understanding of the environment of non-governmental organizations.
  • High regard for institutional property, protecting and caring for it as if it were your own.
  • The ability to multitask and meet job deadlines.
  • Outstanding interpersonal skills and the abilitArusay to operate as part of a cohesive team.
  • Join a local Christian church and participate actively.
  • The ability to positively represent the Convoy of Hope Ministry, including its mission statement and fundamental principles, to all external stakeholders.

The Essential Duties and Responsibilities:

As a purchasing officer, the Procurement Assistant will:

  • To review, assess, analyze, and seek clearance from Program Officers for products and services to be acquired.
  • To ensure that approved purchases are profitable and high-quality.
    Implement and enforce the organization’s procurement policies and processes.
  • To manage inventories and keep precise records of purchases and prices.
  • To maintain and update supplier information, including qualifications, delivery times, and product ranges.
  • To create files and seek information from new vendors.
  • Maintain positive connections with suppliers when negotiating prices and contracts.
  • Make the purchases specified by the programs.
  • Make purchases of office goods.
  • Investigate and assess potential suppliers.
  • Create purchase budgets, cost analyses, and reports.
