The Job Summary:
As a Reservations officer, you will be responsible for managing bookings and inquiries, ensuring a seamless reservation experience for all agencies, tour operators, and direct guests.
Main responsibilities:
- To receive and process all booking requests via all sources.
- To quote and planning itineraries.
- Make sure that full payment for bookings is completed in accordance with the booking terms and conditions.
- To engage, discuss, and offer solutions to agents based on their needs.
- To process and provide full booking documents to agents as needed.
- To ensure that records are properly retained and archived in accordance with corporate policy.
- To make follow-ups on provisional bookings and unpaid payments.
- The bookings should be confirmed as soon as possible, subject to availability and within the parameters of booking policies.
- To process all reservation inquiries, always ensuring that the agents receive the best solution possible.
- To collect, update, and communicate/share all necessary information about guest arrivals at the lodges on a daily basis.
- To respond promptly and accurately to any lodge or account inquiries about visitor information.
- Create/ prepare any reports that may be requested from time to time.
- Provide correct bills and reservation summaries to agents.
- To arrange all processed vouchers/documents and ensure that they are neatly and correctly preserved every day.
Job Qualifications:
Education:
- A diploma or certificate in hospitality, tourism, business administration, or a similar profession is typically adequate.
- A proven experience in a hotel reservations or front desk function, preferably 2-4 years in a similar capacity.
- The problem-solving skills required to handle last-minute adjustments, cancellations, and booking complications.
- Interacting with guests, personnel, and other departments requires strong verbal and written communication skills.
- A proficiency in reservation software and decent computer skills required; knowledge of the ResRequest System is a bonus.
