Job Title: Supply Chain Lead

The Job Summary:
The Supply Chain Lead is in charge of performing end-to-end supply chain operations, such as ordering, issuing, and tracking medical consumables throughout all AHN centers and the central warehouse in Tanzania. This function also manages the acquisition of medical equipment for AHN facilities and assists with the delivery of medical equipment to external clients as part of the company’s distribution division. The ideal applicant will guarantee that supply chain operations are timely, accurate, and cost-effective, hence supporting clinical service delivery and corporate growth.
Main Responsibilities:
Procurement and Vendor Management
- Develop and maintain connections with vendors of various sizes for medical consumables and equipment procurement on a local and international scale.
- To establish and maintain regular connection with vendors to place, follow up on, and expedite orders to meet delivery deadlines.
- Make liaise with the Tanzania Food and Drug Authority (TFDA) to ensure that licenses, special permissions, and regulatory approvals are processed in a timely manner.
- To identify and interact with dependable vendors to ensure constant equipment supply while also assisting with contract negotiations and business planning.
Inventory and Warehouse Operations
- Collaborate with AHN centers to monitor inventory levels, replenish supplies, and maintain the availability of key medical equipment and supplies.
- To learn how to utilize warehouse management software to keep inventory data accurate and up to date.
- To receive and store incoming supplies appropriately, separate damaged or expired material, and participate in regular inventory audits.
- To stock discrepancies should be recorded and reported in order to ensure fast resolution and accurate tracking.
- To maintain inventory records using Sage warehouse management software, which ensures data accuracy and real-time stock updates.
- To analyze Sage inventory data to uncover usage trends, flag slow-moving or fast-moving products, and improve reordering decisions.
The Distribution & Logistics
- Create and manage shipment schedules from the warehouse to the AHN centers to ensure timely and correct order fulfillment.
- To coordinate the packaging, dispatch, and delivery of clinic and warehouse orders, as well as driver management, to ensure compliance with protocols and service expectations.
- To manage AHN’s vehicle fleet to ensure no downtime, and supervise drivers to assure 100% on-time and complete (OTC) product delivery.
- A proactively address logistics and shipment difficulties with minimal supervision.
The Stakeholder and Customer Engagement
- Work with the CEO, COO, and Country Head to coordinate capital equipment inventory with new center construction plans.
- To maintain positive client connections and respond quickly to their demands, with a response time of less than one business day.
- To process customer orders accurately, and work with the Financial Controller to compile and send bills.
- Provide excellent customer service throughout the supply chain process. Strategic & growth-oriented Support
- To scale supply chain operations to accommodate organizational development and geographical expansion.
- To lead continuous improvement projects and help with business planning for the equipment distribution arm.
- Use supply chain data to gain meaningful insights into inventory accuracy, cost control, and demand forecasts.
- To perform additional related tasks as assigned to support supply chain excellence.

The Desired competencies:
- A bachelor’s degree in supply chain management, logistics, business administration, or a similar discipline is necessary.
- A minimum of two to three years’ experience in supply chain, procurement, or logistics.
- An experience in the healthcare business is a significant asset.
- Solid analytical and problem-solving abilities, with a focus on detail.
- Inventory and procurement system proficiency is required, with Sage experience preferable.
- Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint), data analysis, and ERP/Inventory management software.
- Proven ability to establish and manage productive relationships with suppliers, vendors, and consumers.
- Excellent interpersonal skills and the ability to collaborate cross-functionally with internal teams and external stakeholders.
- An excellent written and spoken communication abilities.
- The ability to prioritize tasks, manage time wisely, and operate under pressure.
- The basic understanding of inventory management, stock recordkeeping, and medical supply storage safety.
- Experience with logistics coordination and delivery protocols.
- A high level of ethics, professionalism, and responsibility.
